Minimum Experience Requirements
This position is open to all current Management Assistants employed with the City of Los
Angeles.
Summary of Duties
The Management Assistant position is assigned to the Architectural Division’s (ARC)
Administrative Section.
The incumbent reports to a Senior Management Analyst l and provides administrative support
in the ARC’s Administration Section. The incumbent will assist ARC project managers with
processing invoices, preparing correspondence and reports on project status, reviewing and
processing board reports and other legal documents such as grant agreements and
Memorandum of Understanding, and in generating various Financial Management System
(FMS) and MERLIN reports.
The incumbent will also take a role in preparing and tracking personnel-related documents for
the division, assists in Workday and in preparing the division’s proposed budget packages, and
various other budget/funding-related functions. The incumbent will also assist with updating and
uploading documents to the BOE Personal Services Contracts System and other BOE
applications used by ARC staff, as well as other miscellaneous administrative and personnel related duties as assigned.

The Bureau of Engineering is looking for candidates who possess the following skills,

• Excellent skills in planning, organizing, managing, and scheduling work.
• Excellent skills in the preparation of reports and correspondence.
• Ability to analyze complex problems; identify relevant issues; and formulate reasonable
and effective solutions.
• Ability to work independently.
