The Economic and Workforce Development Department (EWDD) is accepting applications to fill one (1) Executive Administrative Assistant III position. The position is assigned to support programs in the Executive Management Division within the Economic and Workforce Development Department. The duties and responsibilities include:
Greets the public and visitors; receives and screens telephone calls, directs callers to appropriate staff, divisions, other City departments, or other government agencies; responds on behalf of the General Manager and/or other executive staff to routine complaints and inquiries; furnishes information about department functions, procedures and activities; maintains personal calendars; schedules appointments, meetings, and conferences; coordinates accommodations and travel arrangements and prepares expense statements; interprets and releases pertinent information to the public.
Types letters, reports and memorandum; takes minutes of meetings; uses personal computer, electric typewriter, photocopier, fax machine, and various software programs. Reviews and sends transmittals to Workforce Board members, City of Los Angeles staff, and Los Angeles Development Fund board members.
Secures information on status of pending matters and reasons for delay in completing assignments; researches records for special information; maintains files and records including those of a confidential nature, and maintains a tracking system for assignments.
Reads and routes incoming correspondence; follows up on assignments made and advises management of status.
Contacts managers for items for discussion at staff meetings and types agendas. Assists in reviewing department correspondence manual; answers questions from staff regarding proper format and procedures; reviews correspondence submitted by other clerical staff for accuracy and completeness prior to submission to Executive Management for signature. Maintains and orders supplies; prepares supply requisitions and signs routine forms; supports department special events.
Other related duties as assigned.
MINIMUM REQUIREMENTS:
Two years of full-time paid experience in a class at the level of Secretary performing all of the following secretarial work: routing calls to the appropriate person or location; maintaining appointment calendars; arranging appointments and meetings; preparing for and setting up meetings; taking minutes of meetings; reviewing and editing documents; reading, routing, and tracking incoming and outgoing correspondence; and composing routine correspondence.
Confirmation of application to the October 2025 Executive Administrative Assistant exam is required.

SELECTION PROCESS:
A screening process may be applied to determine a reasonable number of candidates with the most relevant background and experience to interview. Only the most qualified candidates will be invited to participate in the interview process for further evaluation.
