BACKGROUND

The Los Angeles City Fire Department has a transfer opportunity for two (2) Personnel Records Supervisor positions. The two Personnel Records Supervisor positions will be assigned to the Department’s Administrative Services Bureau / Human Resources Division / Personnel Services Section – Records Unit.

 

WORK SCHEDULE

The Los Angeles City Fire Department offers 5/40 and 9/80 work schedules and has implemented a hybrid telecommuting program which allows some classifications a minimum of two (2) in-office work days per week, and on the remaining workdays, employees may telecommute, provided that the employee has passed their probationary period. The specific in-office days are flexible and will be coordinated with Executive Management. The hybrid telecommuting program is subject to change.

 

RESPONSIBILITIES

Under the direction of the Senior Personnel Analyst I, the Records Unit Personnel Records Supervisor performs the following duties:

  • Supervises and direct the activities of staff assigned to the Records Unit, such as assigning and reviewing work, motivating employees to perform their duties, providing training to employees regarding work flow procedures, and solving interpersonal and work performance problems, including the initiation of progressive discipline steps when necessary.
  • Reviews and evaluates all compensation/data change business process in Workday pertaining to new hires, transfers, reassignments, reversions, pay/down grades, promotions, and bonuses for completeness and accuracy.

  • Oversees the maintenance and inventory of badges and other insignia, and taking of ID photographs, directs the activities of staff engaged in answering the telephones, database management, maintaining files, and verification of employment.
  • Assists the Department’s employees regarding the interpretation and application of various personnel related procedures including salary step advancements and bonuses, FLSA, transfers, reversions and promotions. This also includes providing the interpretation of various complex civilian and uniform Memorandum of Understanding (MOU), and Administrative Code provisions.
  • Reviews all new MOU provisions to determine the need to change/revise procedures.
  • Uses Google Suite and Microsoft Word/Excel to type correspondence such as memos, staffing reports, and other narrative reports, and prepares weekly updates on assignment progress. Prepares all selection tools for the filling of any clerical vacancies within the Unit. Performs other related duties.

 

REQUIREMENTS

Open to current Personnel Records Supervisors who have successfully completed probation in the class.
