The duties of the position may include, but are not limited to:
Personnel support: Prepare allocation packages; maintain Division’s Annual Personnel Resolution (APR); process hiring documents; conduct pre- and post interview selection package (ISP) reviews; conduct personnel folder reviews; provide interview feedback; create and update organizational charts; assist with Division training and development requirements, procedures, and interpretation of City and Department hiring policies; assist with discipline packages and investigations; and support the Division as an Assistant Equal Employment Opportunity (EEO) Coordinator.
Budget support: Assist in coordinating and developing Division’s annual budget including supporting managers in budget formulation and preparation; enter budget estimates; review monthly cost reports and analyze variances; research and evaluate budget-related problems and recommend solutions; conduct historical trend and cost analysis; create and track jobs and work orders; prepare and assist with Rates Metrics, monthly financial report (MFR), job justification sheets (JJS), key performance indicators (KPI), journal vouchers (JV), and other budget-related reports and documentation.
General administrative support: May serve as California Public Records Act (CPRA), Family and Medical Leave Act (FMLA), Attendance Improvement Program (AIP), and Reasonable Accommodation (RA) and Light Duty (LD) Coordinator; assist with Safety Shoe Program, Outside Employment, and Fleet coordination; provide administrative support to management by researching, analyzing, interpreting, and presenting information; prepare and conduct presentations to management, supervisors, and field staff; track and maintain Division’s IT inventory; coordinate records retention activities and furniture requests; update seating chart; and assist with contract administration and other special projects.
