Responsibilities and requirements of the position include:
Perform complex clerical work which requires frequent exercise of independent judgment and a good knowledge of Department and Division functions, policies, and procedures; must work well independently or as a team, complete tasks in a timely manner, and organize and prioritize work as follows:
  • Assist the Contract Administrators in the WETS' Division in procuring and administering personal services contracts including task management, invoice processing, contract compliance, and Contracts Committee/Board packages preparation.
  • Review, proof, and process internal, external, and contract correspondence incompliance with LADWP and Division policies and procedures.
  • Perform scanning, electronic filing, and e-mailing of documents.
  • Communicate effectively with other personnel, supervisors, vendors, various divisions, labor organizations, and City agencies through the procurement process and comply with Supply Chain Services policies and procedures.
  • Collect data from invoices and integrate cost data to provide monthly reports addressing contract expenditures, subconsultant costs, Minority/Women Business Enterprise participation, and various other parameters; maintain contract document files.
  • Utilize Microsoft Word, Access, Excel, PowerPoint, Outlook, and Professional Services Tracking System.
  • Type and process internal and external correspondence, Board letters/packages,
  • reports, travel authorities/plans, expense statements/reports, maintain various logs
  • including mileage reimbursements and other related documents.
  • Maintain reports, correspondence, into FileNet and/or servers. Assist with personnel
  • activities that require confidentiality, planning, organizing, prioritizing, and maintain the WETS e-mail account.
  • May provide clerical support to WETS Executive office in the absence of the Utility Executive Secretary on Article 33 assignment.
  • Training may be conducted at various LADWP locations. May be assigned other work within the Division for cross-training purposes and to meet operational needs. Performs related duties as required.

Candidates will be evaluated for the following work related skills, knowledge, abilities and other qualifications by interview or other means, as specified:
  • Knowledge of clerical and correspondence procedures and practices as contained in the LADWP Secretarial Manual; general office practices; including grammar, spelling, punctuation, filing, and records keeping procedures; telephone answering techniques; and the Clerical MOU.
  • Ability to manage high-priority tasks with short deadlines; prioritize, organize, and complete tasks in a timely manner; pay close attention to detail; work well independently as well as with others; and communicate clearly and effectively verbally and in writing.
  • Knowledge of and ability to use standard mainframe and personal computer applications including Microsoft Office software (Access, Word, Excel, PowerPoint, and Outlook) Adobe Acrobat, Intranet/Internet.
  • Ability to use FileNet, extensity, eRSP, RCAS, WorkTech and related mainframe applications is desired.
A performance test may be given. A valid California Class C Driver’s License is required and must be maintained during employment. Overtime is available, and attendance record may be evaluated.
