Perform complex clerical work which requires frequent exercise of independent judgment and a good knowledge of Department and Division functions, policies, and procedures; must work well independently or as a team, complete tasks in a timely manner, and organize and prioritize work as follows:
• Provides clerical support to the Manager of Project and Construction Management Section.
• Makes travel arrangements and prepares and processes all appropriate paperwork.
• Types, proofreads, edits, and processes various internal and external correspondence, Board letters/packages, reports, travel authorities, expense statements, maintains various logs of assignments/ correspondence.
• Follows up on assignments to ensure timely response.
• Organizes, scans, files, and maintains reports, correspondence, into FileNet and/or
servers.
• Communicates effectively with other personnel and supervisors.
• Provides clerical support to other Section staff and Division staff, during their absence and/or provides assistance during peak workload.
• May provide clerical support to WETS Executive office in the absence of the Utility Executive Secretary on Article 33 assignment and performs other related administrative support and clerical duties.
• May be assigned other work within the Section for cross-training purposes and to meet operating needs.
Candidates will be evaluated for the following work-related skills, knowledge, abilities and other qualifications by interview or other means, as specified:
• Knowledge of clerical and correspondence procedures and practices as contained in the LADWP Secretarial Manual; general office practices; including grammar, spelling, punctuation, filing, and records keeping procedures; telephone answering techniques; and the Clerical MOU.
• Ability to manage high-priority tasks with short deadlines; prioritize, organize, and complete tasks in a timely manner; pay close attention to detail; working well independently as well as with others; and communicate clearly and effectively verbally and in writing.
• Knowledge of and ability to use standard mainframe and personal computer applications including Microsoft Office software (Access, Word, Excel, PowerPoint, and Outlook) Adobe Acrobat, intranet/ internet.
• Ability to use FileNet, extensity, e-RSP, RCAS, WorkTech and related mainframe
applications is desired.
A performance test may be given. A valid California Class C Driver’s License is required and must be maintained during employment. Overtime is available, and attendance record may be evaluated.
