job description

Acting as the main timekeeper for various PNBE sections/groups and performing tasks including creating Personnel Action Notices (PANs), validating personnel transactions using HRMS, maintaining timekeeping records which includes preparing files for records retention and transfers; Providing general clerical support to PNBE Division, including the main office and outlying facilities, as needed; Data entry, photocopying/scanning confidential records and plans, processing/distributing interdepartmental mail, including picking up, distributing, filing, and mailing documents and/or correspondence; Providing clerical support for selection interview processes; assisting with travel authorities and expense statements; Acting as the Division Training Coordinator and performing related duties including assisting employees with log on questions, generating reports, and providing training information; Processing documents related but not limited to Fair Labor Standards Act (FLSA) and Family Medical Leave Act (FMLA); Providing clerical support for special programs administered by the PNBE, including maintaining tracking logs, preparing form letters, depositing cash/checks, and check mailing; Maintaining office files in accordance with the LADWP records retention schedule, including preparing retention schedules and transfers; Preparing and processing mileage reimbursements,petty cash reimbursements, purchasing card reconciliations, and invoice certifications as well as receiving and processing payments from customers for authorized construction charges by check or credit card; Processing Service Pin requests and retirement certificates; Maintaining calendar of conference rooms, ordering office supplies, answering phones, and other related duties.


Candidates will be evaluated for the following work-related skills, knowledge, and abilities:
• Ability to provide excellent customer service in person and over the telephone.
• Ability to comprehend and follow oral and written instructions.
• Ability to work independently and exercise sound judgement, including plan, organize, and prioritize work to meet deadlines.
• Ability to communicate effectively and tactfully with employees, management, and the public, orally in writing.
• Knowledge of LADWP personnel records, record keeping procedures, and timekeeping policies and systems.
• Knowledge of Microsoft Suite applications (Word, Excel, and Outlook), and LADWP applications (WMIS, Worktech, EIS, and CCB).

Overtime is available. Due consideration will be given to job related experience, training, and attendance. A performance test may be given.

Eligible candidates must currently hold a regular appointment as a Senior Administrative Clerk (Class Code 1368) position to apply.
