The responsibilities and duties of this position include, but are not limited to the following:
Provides clerical support for Power System Safety and Training groups which include training programs for Electric Distribution Mechanics, Electrical Mechanics, Electric Station Operators, Electric Meter Setters, Underground Distribution Construction Mechanics, Steam Plant Assistants, New Engineering Associate Trainees and/or other training programs, and Power System Safety Section. Distributes notices, schedules, and tracks training, and provides clerical support pertaining to monthly evaluations of trainees. Prepares and processes personnel transactions and maintains personnel records as they relate to hiring, reassignment, transfers, discipline and termination. Performs timekeeping duties which includes posting time in Work Tech and Employee Information System (EIS) and performs other timekeeping-related duties. Reviews and corrects various payroll and timekeeping documents, answers inquiries regarding Memoranda of Understanding (MOUs), Department Working Rules and policies, timekeeping and Civil Service Rules. Prepares and processes travel plans and expense statements in the Travel System XM. Prepares and processes mileage reimbursements and Purchasing Card reconciliations. Processes Personnel Action Notices (PANs) using the Human Resources Management System (HRMS). Schedules, coordinates and inputs training into HRMS and Cornerstone. Orders and maintains stationery supplies. Updates and maintains office procedure manuals, forms and templates. Prepares letters, memoranda and reports of a technical and confidential nature. Schedules, attends and performs other related administrative support and clerical duties for various meetings. Sorts mail. Maintains files of all related documents, including maintenance of trainee records. Prepares and processes documents relating to the Fair Labor Standards Act (FLSA), Family Medical Leave Act (FMLA) and Information Technology System Requests (ITSR). May be asked to drive Department vehicles to other Department facilities in the performance of duties. Performs other related duties as required. Candidate may be subject to overtime and/or call-out. Cross training, back-up relief, rotation and reassignment of office duties will be required based on workload and the needs of the Division.
Candidates for this position may be evaluated for work related skills, knowledge, abilities, and other qualifications as follows:
•Knowledge of LADWP policies, procedures, Working Rules, MOUs, Civil Service Rules, personnel policies and procedures and general office standards and practices.
•Knowledge and skill in the use of personal computers and software applications including Microsoft Office programs and various LADWP mainframe programs (LADWP Travel System, WMIS, EIS, HRMS, Work Tech, Cornerstone, etc.).
•Knowledge of LADWP correspondence procedures including proper English usage for business communications, rules of grammar, punctuation and spelling.
•Ability to prioritize, coordinate and organize work to meet deadlines.
•Ability to work well independently as well as with others, exercise independent judgment and make sound decisions with minimal supervision.
•Must work well under pressure.
•Ability to use effective oral and written communication skills to deal tactfully with others.
•Ability to interpret, explain and apply rules, directives and procedures and follow oral and/or written instructions.
Due consideration will be given to attendance records and previous experience. A valid California driver’s license is required and must be maintained during employment. A screening process may be applied.
The position reports to a Principal Clerk Utility in Power System Safety and Training Division and will be located on the 3rd Floor of the John Ferraro Building (111 N. Hope St., Los Angeles, 90012). A 9/80 or 5/40 work schedule is available.
