The Department of Water and Power Retirement Plan Office
(RPO) intends to fill a Senior Administrative Clerk position in our Investments
section. The position reports to a Chief Investment Officer. A 5/40 or 9/80
work schedule is available (Monday through Friday), with a regular work shift
that cannot start earlier than 6:30 a.m. The work location will be in Room 357
of the John Ferraro Building located at 111 North Hope Street, Los Angeles, CA
90012.
The selection process will consist of an interview and a
background check. Due consideration will be given to previous experience and
attendance. A performance test may be administered.
During training for the new position, the selected candidate
is required to be present in-office daily Monday through Friday. The option for
a Friday ASDO/RDO may be available. After the training period, selected
candidate will report as provided under Department rules. A valid California
Class C Driver's License is required and must be maintained during
employment.
Duties for the selected candidate may be rotated on a
periodic basis for the incumbent to gain the full breadth of knowledge required
for benefits administration and support.
RESPONSIBILITIES AND REQUIREMENTS OF THE POSITION MAY
INCLUDE:
- Provides
clerical support to the Chief Investment Officer (CIO), Chief Accountant,
and their staff, including preparing routine correspondence and/or
reports, organizing and maintaining files of investment operations,
correspondence, and literature from various investment managers/advisors.
Assists in collecting, researching and assembling investment data and
historical records to respond to requests for information, securities
litigation, etc.;
- Performs
clerical work including routing calls and in-person inquiries to the
appropriate person or location, maintaining appointment calendars,
arranging appointments and meetings, preparing for and setting up
meetings, composing routine correspondence, reviewing, proofreading,
editing, routing, and tracking incoming and outgoing correspondence and
documents, and developing and/or maintaining document filing system;
- Prepares
requests for wire transfers and cash movements between the Retirement
Plan’s various accounts.
- Prepares
and updates Investments Staff master calendar on Outlook.
- Reviews
memorandums, resolutions and other documents, for accuracy; prepares
travel documents for all Investment and Accounting Staff.
- Provides
clerical support related to Retirement Board Meetings and presentations
for the Investments and Accounting Staff.
- May
input data and produce graphs and reports using Excel and/or PC-based
investment accounting program; may perform data entry in the accounting
general ledger system and/or investment related documents; may perform
basic arithmetic calculations to verify numerical information.
- May
identify discrepancies in projected investment income between bank
statement and computer reports.
- May
pick up and/or deliver documents/materials within and outside main
reporting location, including other city locations.
- Processes
and arranges files for record retention; may be temporarily assigned
special projects and/or other clerical work within the Retirement Plan
Office as needed for cross-training purposes and to meet operating needs
and performs related duties.

MEANS, AS SPECIFIED:
- Knowledge
and ability to use Microsoft Outlook, Word and Excel is required.
- knowledge
and ability to use Microsoft Access is desirable.
- Knowledge
of City, DWP, and MOU requirements, policies and procedures related to
clerical work, timekeeping, and processing travel.
- Knowledge
of correct form of English usage for business communications including
rules of grammar, punctuation and spelling.
- Ability
to comprehend and follow oral and written instructions.
- Ability
to type data accurately, proofread documents, and detect calculation and
grammatical errors.
- Ability
to perform basic mathematical calculations and use a calculator and/or
adding machine.
