The duties
of the Management Assistant in the Contracts unit includes, but is not limited
to:
Assist in creating and updating boilerplates
based on grant requirements in direct consultation with the City Attorney, EWDD
Management, contract monitors, and other internal/external staff
Utilizing appropriate boilerplate for
anticipated contracts and structure them based on funding source, program,
scope of work, and other contract related factors
Assist in the review of contract authority
packages for accuracy, completeness, proper procurement and documentation
before preparing contracts
Ongoing collaboration with the contract monitors
to determine documentation required for contract execution, including those
necessary for compliance with City ordinances
Assist in conducting the Living Wage Ordinance
process, including review of documentation for accuracy, and ensuring timely
compliance based on City legal mandates
Conducting insurance determinations through the
CAO Risk Manager’s Office
Assist in the collection of data for EWDD and
other external entity for special reports
Assist in tracking of contracts process stages
through and internal tracking system
Providing training and technical assistance to
departmental staff and contractors on the contract process
Quarterly input of contracting data into the
DCFS Ethics Commission database.
This position is key in decision making and may be tasked with other
special assignments that are deemed necessary. A successful candidate will have
an awareness of the City’s Contract procedures, will be detail oriented, and
will possess strong interpersonal skills necessary to work both in a team
environment, and independently.
