Emergency Appointment Opportunity


Under the direct supervision of a Department of General Services (GSD) Assistant General Manager (AGM), the duties and responsibilities of the position are as following:

  • Report directly to AGM of Supply and Technical Services
  • Perform administrative support functions and secretarial duties, exercise discretion and maintain confidentiality when dealing with sensitive tasks
  • Reception in Suite 712, answering and routing phone lines, acting as the administrative point of contact between electeds, executives, managers and the general public, prioritizing issues and directing inquiries to appropriate office or division
  • Requires considerable initiative, independent high-level judgement and interpersonal skills in collaborating with employees at all levels, as well as, working with the general public
  • Manage calendars and scheduling meetings
  • Monitor office supplies and provide general office support to executives and occasionally support parallel executive suite
  • Organize and proof reports, correspondence and various documents
  • Take dictation and minutes accurately
  • Give support for event planning and specialized projects, including but not limited to budgetary and research duties for holiday events, annual ceremonies, related promotional supply orders
  • Other job duties as assigned

 

MINIMUM REQUIREMENTS:

One year of full-time paid office clerical experience.

This is an exempt, at-will position. The individual appointed to this position will not accrue any civil service tenure, contractual employment rights, or due process rights. The incumbent may be removed, without any finding of cause, by the hiring authority.

An emergency appointment is not a regular appointment. It is a temporary appointment which does not require that you successfully compete in the Civil Service examination process. The appointment may not exceed one year and must be terminated immediately when a regular appointment can be made from an eligible list.
