Provide clerical support for Labor Relations staff including, but not limited to:

• Process time for employees in Workday and process job change requests
• Process discipline and grievance files; maintain confidential records, logs, and tracking systems
• Provide customer service at counter, via telephone, e-mail and fax to internal and external customers and interface with other organizations
• Prepare a variety of documents and correspondence including Letters of Agreement, Letters of Implementation, Letters of Intent, Settlement Agreements, outgoing letters and memoranda
• Process requests for subpoenas and other legal documents
Process Unemployment Insurance claims
• Process Notice of Compliance Requests
• Prepare and process travel plans and calculate mileage reimbursements
• Procure and maintain stationary supplies for office
• Prepare and process Petty Cash reimbursement
• Process and reconcile Trust Fund and Purchasing Card transactions
• Prepare and maintain various timekeeping and personnel documents
• Prepare records retention requests
• Distribute incoming reports and mail to office staff
• Provide support for various training programs including, but not limited to classroom set-up, prepare and assemble training materials
• Enroll LADWP employees in classes and update employee training histories
• Performs other related duties as required.
• Cross-training, back-up relief, and rotation may be required for the operational needs of the office
• Occasional overtime may be required with little or no prior notice

Candidates will be evaluated for the following work-related skills, knowledge, abilities and other qualifications by interview or other means, as specified:

• Knowledge of LADWP policies and practices pertaining to clerical standards and procedures, timekeeping and personnel, MOUs, LADWP Working Rules, Civil Service Rules, and LADWP Personnel Policies and Procedures
• Knowledge of Microsoft Access, Microsoft Word, Microsoft Excel, Microsoft Outlook and Microsoft PowerPoint
• Ability to prioritize, organize work, and complete tasks in a timely manner
• Ability to work independently, exercise independent judgment, and make decisions with minimal supervision
• Ability to effectively communicate with various levels of LADWP management, personnel and other organizations
• Ability to maintain filing system for accurate and immediate reference
• Ability to prepare and proofread various documents and correspondence
• Ability to follow oral and/or written instructions

A performance test may be administered at the time of interview.

Due consideration will be given to attendance records and previous experience.

The Labor Relations Office is responsible for reviewing and preparing confidential documents and discretion in handling such documents will be required.
