The Personnel Department seeks to fill one (1) Personnel Records Supervisor position in Client Services Group II. This position serves as a liaison to the Department of Transportation (LADOT). The reporting location of the position is 100 S. Main Street, 10th Floor, Los Angeles, CA 90012.


Minimum Requirements:

1. Applicants with a minimum of 2 years of experience in a class equal to or the level of Senior Administrative Clerk. Experience supervising both professional and
clerical staff is highly desired.


2. Must be proficient in Workday.


Position Description:
  • Supervise, train, and develop clerical support staff in the preparation and processing of Workday transactions and other payroll-related documents (appointments, changes of status, terminations), departmental and civil service leaves, requests for transfer, etc.
  • Workday processing includes but is not limited to: onboarding, assignment changes, salary adjustments, bonuses, leaves of absence, FLSA updates, employee anniversary, and vacation accrual calculations and adjustments.
  • Handle State Rate/supplemental notices.
  • Coordinator for Records Retention.
  • Data entry and retrieval of information using a variety of computer software and systems; maintenance of confidential files; and knowledge of personnel rules, policies and procedures to provide information to employees and the public.
  • Research and answer in person and over the telephone, questions from staff and the public regarding provisions of departmental rules, civil service rules, employee benefits, MOU provisions, etc.
  • Other duties as assigned.

Note: This position requires an in-depth knowledge of Workday, so the successful candidate must already possess this knowledge, or be willing to research and participate in Workday training to be able to get up-to-speed. This position also requires extensive computer work and the backlog is typically heavy. The successful candidate must possess excellent attention to detail, superior communication skills, and a patient and tactful customer service ethic. Finally, this position must exercise good judgment, be able to work responsibly within a fast-paced team environment and maintain a high level of confidentiality.
