Senior Administrative Clerk
Library Human Resources Office


The Senior Administrative Clerk position assigned to the Library Human Resources Office is located at the Central Library (630 W. 5th Street, LA 90071). It reports to the Principal Clerk and oversees a clerical staff of up to three (3).

The ideal candidate must possess the following qualifications:

- Ability to maintain confidentiality and discretion
- Solid knowledge of the Microsoft and Google Suites of products (Microsoft Excel, Microsoft Word, Gmail, Docs, Sheets, Meet, and Calendar)
- Exceptional organizational and time management skills
- Excellent work ethic
- Outstanding communication skills (both written and verbal)
- A desire to work in a team environment

The duties of this position include, but are not limited to the following:

- Maintain updated knowledge of Library Department and City policies and procedures in order to properly convey the information to management, staff, and public.
- Supervise clerical staff - Managing/issuing work assignments; tracking status of completion of assignments; reviewing quality of work.
- Department hiring coordinator for all Civil Service, Exempt, Intermittent, and Citywide transfer appointments. Schedules candidates for interviews; coordinates completion of onboarding documents; arranges and tracks fingerprint/medical appointments; processes non-select letters; enters dispositions and send notices into NEOGOV; processes Certification letters to LACERS for newly eligible staff, etc.
- Works with various City department Personnel Offices in order to secure release dates, transfer documents, personnel folders, etc.
- Workday: Process new hires, promotions, transfers, terminations, retirements, changes to personal records (address changes, emergency contact changes), etc.
- Collaborate with HR Analysts/Director and/or Library Administration on various projects. As such, this position requires the ability to properly articulate oneself.
- Generate and retain various letters, correspondence and reports.

This is a citywide transfer position. As such, all candidates must be current city employees who either are currently in the class of Senior Administrative Clerk and have passed their 6-month probationary period OR candidates must have previously been appointed to the Senior Administrative Clerk classification and have completed their probation in order to apply. All candidates who submit their application for this position, and have not met the above requirements, will be informed that they are not eligible to apply for the position.
