THE SALARY

 

The current salary range for the Senior Administrative Clerk position is $50,049 to $73,184 annually.


DUTIES AND RESPONSIBLITIES

 

The Los Angeles Housing Department is seeking a Senior Administrative Clerk for the Rent Stabilization Division to work at and manage a public counter.

 

Duties of this Senior Administrative Clerk position include but are not limited to the following:

 

·         Provides information to the public and guidance to staff in the application of the Rent Stabilization Ordinance (RSO) and Systematic Code Enforcement (SCEP), housing code, other housing laws and relevant laws and ordinances.

 

·         Receives payments for rent and code fees. Review and sign-off on the daily register reconciliation paperwork. Uses computer to input complaints using the Department database and to research property information, including ownership, fee payment status and history, status of complaints, and trains subordinate staff in procedures. Timekeeper for Section Clerical Staff.

 

·         Assists in providing administrative support and assists with the preparation of reports and public information materials.

 

·         Assists in providing outreach services to the community and makes presentations on the rent stabilization, code enforcement and housing programs. Perform file searches for information not readily available or complexly cross-referenced. Updates and organizes files for record retention storage.

 

·         Provides answers to inquiries that require the attention of supervisor and refer other communications to proper person. Makes telephone calls to arrange for meetings and to obtain information as needed by supervisor.

 

·         Assists in providing administrative support and assists with the preparation of reports and public information materials.

 

·         CPRA & Subpoena Request Coordinator: Gathering of responsive documents from respective section in response to CPRA & Subpoena request, correspond with Division Rent Coordinator to assure all files are submitted timely, prepare and scan all files to Custodian.

 

·         Assists manager in providing administrative support and oversight of public information staff at Regional Office. Supervises the public counter staff and assists with training of staff.

 

·         Perform other related duties as needed.

 

 

The Los Angeles Housing Department is also seeking a Senior Administrative Clerk for the Rent Stabilization Division to be assigned at the Downtown Office.

 

Duties of this Senior Administrative Clerk position include but are not limited to the following:

 

 

Receives and upload Tenant Buyout Agreements into the department’s database; enter worklogs and record agreements by creating an electronic case file by inputting tenant and landlord information into the database to track and monitor.

 

? Provides information to the public and guidance to staff regarding the Tenant Buyout Agreement provisions of the Los Angeles Municipal Code (LAMC 151.31).

 

? Responds and answers constituent inquiries received by telephone, email, & letter, including inquiries regarding their case. Distributes and/or files and uploads U.S. and City Mail into the database.

 

? Responds to inquiries to arrange for meetings to discuss and answer questions regarding the

requirements of a Tenant Buyout Agreement under the Rent Stabilization Ordinance (RSO).

 

? Assists with the preparation of Tenant Buyout Agreement reports and public information materials at the Public Counter, provides customer service regarding Tenant Buyout Agreements & other questions regarding the RSO.

 

? Assists with presentations to the public.

 

? Responds to all California Public Records Act (CPRA) and Subpoena Tenant Buyout requests by researching the tenant buyout database, retrieving in house or offsite files, scanning and/or copying case files, and notifying the Custodian of Records of anticipated delivery, and forwarding documents (scanned, City mail, etc).

 

? Assists the Landlord Declarations Section in the Rent Stabilization Division by creating case files in an online portal for new applications, completing CPRA requests, uploading and distributing all incoming correspondence received via telephone, email, letter and facsimile, and the processing of invoices. Additional duties may include filing, ordering supplies, records retention, scanning, calendaring, assisting the Investigative and Supervisory staff as needed.

 

? May serve as back-up for the Public Counter and Rent Registry Program and may be responsible for coordinating tasks with Administrative Clerks which could include supervisory duties.

 

? Performs other related duties as needed.

 

 

REQUIREMENTS

 

Candidates for these positions must currently have the civil service job classification of Senior Administrative Clerk and have completed a probationary period in this classification by the application deadline.
